Community Help – Publishing & Contribution Rules
This document defines the mandatory rules and standards for creating, publishing, and maintaining content within the BUSATX Forum → Community Help section.
These rules exist to preserve information architecture, maintain consistent tone and quality, prevent navigation pollution, and protect BUSATX intellectual and commercial boundaries.
All contributors must follow these rules without exception.
1. Purpose of Community Help
Community Help exists to:
- Educate users on how Odoo works in real-world environments
- Explain configuration concepts and limitations
- Reduce support friction through self-service knowledge
Community Help does not exist to:
- Replace professional services
- Publish custom workflows or proprietary logic
- Serve as marketing or sales pages
2. Structural Rules (Non-Negotiable)
2.1 Navigation
- Community Help content must never appear in the website header.
- Community Help content must never appear in dropdown menus.
- Community Help content must only be accessible via Forum → Community Help, search, or internal article links.
Any content that generates header or submenu entries must be rejected.
2.2 Content Location
All help articles must be published as:
- Section: Forum
- Subsection: Community Help
No exceptions.
2.3 Categories
Categories are used only for search and filtering, not navigation.
Approved categories:
- Project Management
- Accounting & Job Costing
- CRM & Sales Pipelines
- Construction Estimating
- Custom Development
- Performance & Scaling
- Security & Permissions
New categories require explicit approval.
3. Article Structure Standard
Every Community Help article must follow this structure:
- Overview
- Purpose & Use Case
- Prerequisites (if applicable)
- How It Works in Odoo
- Configuration Notes
- Common Issues
- Limitations
- When to Consider Professional Assistance
Articles that deviate from this structure must be revised before publishing.
4. Tone & Language Rules
4.1 Required Tone
- Professional
- Neutral
- Technical but accessible
- Non-marketing
Write as if the reader is a competent system user, not a prospect.
4.2 Prohibited Language
The following must never appear in Community Help content:
- Internal system names
- Internal IDs or module numbers
- Sales language or calls to action
- Pricing, packages, or offers
- Guarantees or promises
4.3 Escalation Language (Approved)
Only the following escalation patterns are allowed:
- For more advanced use cases, professional configuration or development may be required.
- Organizations with more complex requirements often engage professional support.
- Certain workflows may require professional configuration or development.
No variations without approval.
5. Content Boundaries
5.1 What Can Be Explained
- Native Odoo behavior
- Configuration options
- Conceptual workflows
- Known limitations
5.2 What Must Not Be Published
- Custom code
- Proprietary workflows
- Step-by-step business-specific implementations
- Client-specific logic
- Competitive comparisons
Community Help explains what is possible, not how BUSATX builds it.
6. SEO & Discoverability Rules
- Titles must clearly describe the topic
- Avoid keyword stuffing
- Use natural language
- Articles must stand alone without context
Internal linking is encouraged but must remain contextual.
7. Review & Approval Process
Before publishing, every article must be reviewed for:
- Structural compliance
- Tone consistency
- Architectural impact
- Escalation language correctness
Content that violates these rules must be revised or rejected.
8. Maintenance & Updates
- Articles should be reviewed periodically as Odoo evolves
- Outdated content must be revised or archived
- Deprecated functionality should be clearly noted
Community Help is a living system and must be maintained intentionally.
9. Authority
These rules are authoritative for all Community Help content.
Failure to follow them risks SEO degradation, navigation clutter, and loss of professional positioning.
